How do I add/remove an employee?
Employee Management & User-Level METRC API Keys | |

Adding a New Employee | |
1. | Go to Employees → “Add a New Employee.” |
2. | Enter the employee’s name and a unique e-mail address. |
3. | Create a 4-digit PIN (used to log in at the register). |
4. | Select the appropriate role / permissions in Marijuana Software. |
5. | Paste the employee’s METRC API key. • In METRC, the user selects their name ▸ API Keys ▸ Generate New User Key and copies the 52-character string. • Verify that the user’s METRC profile includes Sales → Upload permission; otherwise uploads made with this key will fail. |
6. | Click Create. All future sales by this employee will be reported to METRC under their own name. |
Removing or Disabling an Employee | |
1. | Open Employees. |
2. | Click “Delete” (or “Disable”) next to the staff member. |
3. | Historical sales remain in METRC under that employee’s name; no data is lost. |
Regulatory Tip: Many states require terminated staff to be removed in both your POS and in METRC ▸ Admin ▸ Employees within a set window (often 72 hours). | |

Special Note: Why Add a User-Level METRC API Key? | |
METRC issues a unique API key for every employee. When that key is used to upload sales, METRC automatically records the staffer’s name on each transaction—meeting audit requirements in most regulated markets. Because the key inherits the user’s permissions, the employee’s METRC role must include the Sales → Upload (sometimes called “Sales Deliveries”) permission. Without that permission, sales uploads will be rejected. |
